HireSwiftlee, LLC ("HireSwiftlee," "we," "us") respects your privacy. This Privacy Policy explains what personal data we collect from contractors, clients, recruiters, and visitors of hireswiftlee.com, how we use it, who we share it with, and the rights you have to control it.
1. What we collect
- Account data: name, email, phone, password (stored hashed), role (contractor / client / recruiter / admin), profile photo, location, professional title, biography, languages, industries, skills, availability.
- Verification & payout data (contractors): government-issued tax form contents (W-8BEN or W-9 — name, address, taxpayer ID, signature), résumé, video introduction, voice sample, Wise recipient details (bank/account routing).
- Application & messaging data: applications you submit, cover letters, interview history, contracts you sign, messages exchanged with other users, notes attached to your profile by recruiters.
- Payment data (clients): card data is entered directly into Stripe's hosted iframe — HireSwiftlee never sees, stores, or transmits cardholder data. We retain only Stripe-issued tokens (payment method IDs, charge IDs) and metadata necessary for accounting.
- Operational data: IP addresses, browser type, pages viewed, session timestamps. Used for security monitoring and product analytics.
2. How we use it
- To provide the marketplace — matching contractors to clients, processing payments and payouts, sending notifications.
- To meet legal obligations — tax reporting (1099s for US-based contractors, withholding reports for non-US), anti-fraud, anti-money-laundering.
- To keep the service secure — detecting suspicious activity, preventing abuse.
- To improve the product — aggregated, de-identified usage analytics.
- To communicate with you — operational emails, occasionally product updates (you can opt out of the latter).
3. Who we share it with
We share personal data only with the following categories of recipients:
- Other users on the platform, where you've made it visible — e.g., a contractor's profile is visible to clients viewing applications, and their referring recruiter has access to their tax status. Each role sees only what the platform's row-level security policies permit.
- Payment processors — Stripe (for client charges) and Wise (for contractor and recruiter payouts). Stripe and Wise have their own privacy policies governing what they do with the data they receive.
- Infrastructure providers — Vercel (hosting), Supabase (database + storage), Resend (transactional email), Google Workspace (our business email). These providers process data on our behalf under written data-processing agreements.
- Authorities — when required by valid legal process (subpoena, court order, law enforcement request).
We do not sell personal data, and we do not share it with advertising networks or data brokers.
4. How we protect it
- All data in transit is encrypted with TLS 1.2 or higher.
- All data at rest in the database is encrypted by Supabase's infrastructure.
- Sensitive fields (tax IDs) have additional application-level encryption.
- Access to production systems is gated by two-factor authentication.
- Row-level security in the database enforces per-user access; recruiters can only see contractors they referred, clients can only see applicants to their own campaigns, etc.
- We retain payment cardholder data only inside Stripe — never on our systems. See our PCI DSS posture for details.
5. Your rights
You can:
- Access the personal data we hold about you — email privacy@hireswiftlee.com for a copy.
- Correct inaccurate data — update most fields directly in your dashboard.
- Delete your account — email the same address. We will remove your account and personal data within 30 days, subject to retention required for tax/regulatory compliance (typically 7 years for transaction records).
- Export a copy of your data in a portable format.
- Object to specific uses of your data, or restrict processing.
California residents have additional rights under the CCPA, including the right to know what categories of data are collected and the right to opt out of any "sale" (we do not sell data, so this is moot but worth noting). Send a CCPA request to the same address.
6. Cookies & tracking
We use a small number of essential cookies for authentication (Supabase session cookies) and one referral-tracking cookie (swiftlee_referrer) when you arrive via a recruiter's referral link. We do not use third-party advertising trackers.
7. International data transfers
HireSwiftlee operates from the United States. By using the service, contractors, clients, and recruiters outside the US consent to having their data processed in the US. We use standard contractual clauses with our infrastructure providers where required for cross-border transfers.
8. Children
HireSwiftlee is for users 18 and older. We do not knowingly collect data from children under 18.
9. Changes to this policy
We will update this policy when material changes occur. The "Last updated" date at the top of this page reflects the current version. We will notify active users by email of significant changes.
